    Top navigation — five sections
    Employer Dashboard, Create Roster, Team, Task Manager, and Timekeeping. Everything you need lives in one of these five places. We'll go through each one below.

    Action Required bar — check this every morning
    Unfilled shifts, missing clock-ins, shifts awaiting approval, leave requests, swap requests, declined invites. This is your daily priority list, automatically generated. Nothing gets missed.

    Four summary stats — live, always current
    Total workers, shifts filled this week, planned hours, and hours worked and approved. These update in real time as your team clocks in and out.
  • 4
    Quick Actions — one click from anywhere
    Create Roster, Add Shift, Shift Invites, Invite Worker, Approve Timesheets, View Application. The things you do most often, always in the same place on the right side of your screen.
Module 2 — Organisation settings
💡 Do this before you add a single team member. Your pay rules, overtime multipliers, break rules, and leave entitlements all pull from here — they apply automatically to every worker and every roster from this point forward.

    Company details
    Organisation name, industry, business registration number, billing email, and your region. Your legal and billing identity in the system.

    Break rules
    Define when breaks are required and whether they're paid or unpaid — for example, a 30-minute unpaid break for shifts over 6 hours. Add as many rules as your contracts require. The system applies them automatically when scheduling and calculating timesheets.

Overtime & public holidays

    Overtime calculation — set to Automatic
    Automatic mode picks the right logic (daily, weekly, or monthly) based on each worker's pay frequency and employment type. You don't need to configure this per person.

    Multipliers — adjust to match your contracts
    All multipliers are blank by default — fill them in to match your employment contracts. Workers whose contracts differ from the org defaults can have individual overrides set on their profile.

    Add your public holiday dates
    The system automatically applies the multiplier you set. Add the dates once and you're covered for the year.

    Set your default entitlements
    Annual Leave and Sick Leave are shown with statutory minimums. You can be more generous — just change the numbers. These apply to every worker automatically. If someone's contract gives them more, you override it on their individual profile without affecting anyone else.

    Add any leave types your business uses
    Compassionate leave, unpaid leave, parental leave — add them here with their accrual rules and pay rates.

    Choose your holiday year
    From each worker's employment start date, the calendar year (Jan–Dec), or your own financial year. Pick whichever matches your contracts.

Venues & roles
  • 1
    Add all your venues
    Every branch, outlet, or site gets its own entry. Workers get assigned to one or more venues, and you manage all of them from one dashboard.

    Create your roles before adding your team
    Waiter, Runner, Barista, Cashier — every job title your business uses. Each role gets a colour that shows on the roster so you can read it at a glance. Important: workers only appear in shift allocations if they have the matching role on their profile. Set roles up first.

    Set your hierarchy labels (optional)
    Worker, Shift Leader, AGM, GM, HR, Employer — rename these levels to match what your business actually calls them.

    Click Invite Team Member
    Fill in their name, email, date of birth, and employment start date. Assign them to their branch and choose their hierarchy level.

    Assign their roles — tick every role they can work
    A worker who can wait tables and run can have both ticked. This is what determines which shifts they appear in when you allocate or invite. Don't just tick their main role.
  • 3
    Set employment type and contracted hours
    Contracted Employee or Casual Worker. For contracted staff, add weekly hours, days per week, and hours per day. This is what the roster sidebar uses to show how many hours they still need to be scheduled.

    Add pay rate and send
    Set their hourly rate and frequency. Hit Send Invite — they get an email, set their own password, and they're in.

    Basic details
    Contact info, employment details, roles, venue assignments, hierarchy level. Also where you reset passwords or remove someone from the platform.

    Payment details
    Base pay pulled from the invite. If this worker's overtime, break, or bonus rules differ from your org defaults, override them here for that individual without affecting anyone else.

    Leave
    Org defaults land here automatically. If this worker's contract gives them more leave than the default — say 12 days instead of 7 — change it here. You can also record leave manually and add pre-system history so balances are accurate from day one.

    Termination
    When someone leaves, record the reason, notice period, and last working date. The system automatically caps hours and leave payout to that date — nothing gets missed.
Module 4 — Create roster

Building your weekly roster
Weekly task

    Select your venue and week
    The left sidebar shows your full team — full-time and part-time — with each person's contracted hours and how many you've already scheduled. Approved leave and overtime warnings show here too, so you catch them before publishing.
  • 2
    Add shifts — click the + on any day
    Set the role, time, and venue. Then fill the shift one of three ways.
Fill to Xh
Auto-fills contracted workers to their weekly contracted hours across available days. One click per person.
Allocate
Shows only workers with the right role, assigned to this venue, and genuinely available — not on leave, not unavailable. You pick from that list.
Invite all
Sends to all eligible part-time and casual workers simultaneously. First to accept gets it — everyone else is automatically declined.

    Drag to reorder, then Publish Roster
    Shifts are drag and drop to reorder within the week. When everything looks right, hit Publish — your team sees it instantly on their app.
Save time week to week
  • 1
    Save as template
    If your shift pattern stays the same week to week, save it as a template. Apply it next week and your shifts are back in seconds — just allocate the people and publish.
  • 2
    Copy previous week or copy to next week
    If the team is largely the same too, copy the whole roster across in one click — shifts and allocations together. Adjust for leave or changes, then publish.
Module 5 — Task manager
Shift tasks and briefings

    Build your task bank
    Add every task you reuse across shifts — "Clean the coffee machine before morning service", "Prepare fresh fruit". Give each one a title and optional detailed instructions. These are your reusable building blocks.
  • 2
    Group tasks into templates
    A Barista template, a Closing template, a Weekend template. Build them once and apply to any shift. You can pick which tasks from the template apply to each specific shift.

    Assign tasks when creating shifts
    In shift details, go to the Tasks tab. Apply a template or type custom tasks for one-off instructions. Add a Manager Note for any information the worker needs — notes don't require a tick-off, tasks do. Workers see them on their app when the shift starts and tick each one off as they complete it.

    Review completion on the timesheet
    When a shift closes, you can see which tasks were completed and which weren't — right there on the timesheet. No chasing, no checking in mid-shift.
Module 6 — Timekeeping & reports

    Ongoing Shifts — your live view during the day
    See who's clocked in, who hasn't, and how long each shift has been running across all venues. If someone hasn't clocked in, hit Remind — it sends them a notification immediately.

    Overdue & Pending — approve completed shifts
    All shifts that have ended and need your approval. Review actual clock-in and clock-out against the scheduled shift, correct if needed, and approve. Those hours feed automatically into wage calculations.
  • 3
    Swap Requests — approve in one tap
    Workers raise swap requests directly from their app up to 24 hours before the shift. You review and approve or decline here.
  • 4
    Leave Requests — with balances visible
    Holiday and sick leave requests come in here. Year-to-date totals show at the top so you always know where each worker's balance stands. Sick leave requests include the attached medical documentation.

Reports — end of every pay period

    Timesheet report
    Every shift for your selected period — scheduled versus actual hours, per worker, per venue. Filter by venue, worker, date range, or status. Export to CSV and hand straight to your payroll provider.

    Leave report
    Every leave event in the period — categorised by type, with balances remaining and used, paid status, and a full per-worker breakdown. Same export.
  • 3
    PayOut report
    Your complete pay run in one report: hours worked, overtime, public holiday rates, leave pay, and bonuses — all calculated from your organisation settings. One export, ready for payroll.
